How our pricing works
Our pricing model is designed to be transparent, flexible, good value for money and aligned with the level of work and support your solution requires.
One-Off Setup Fee
We charge a one-off setup fee to cover the initial work required to get your ChatFox solution live. This includes:
Configuration of your ChatFox system
Setup of workflows and automations
Any required system integrations
Testing and deployment
The setup fee is based on the estimated time required to complete this work. We will always provide a clear quote in advance, and no work begins until the quote has been approved.
Monthly Management Fee
Our monthly management fee covers the ongoing operation, monitoring and support of your ChatFox solution.
The cost is based on the complexity of what we are supporting — for example, solutions with multiple integrations or more advanced workflows require more ongoing management than simpler setups.
The monthly fee typically includes:
Platform monitoring and support
Management of integrations and workflows
Performance oversight and issue resolution
Ongoing optimisation where appropriate
Included Monthly Support Time
Each month, your plan includes up to one hour of technical time at no additional charge. This can be used for small changes or refinements, such as minor workflow adjustments or configuration updates.
More substantial changes - including new features, additional integrations or expanded functionality - are quoted separately before any work is carried out.
Third-Party Usage Costs Explained
In addition to ChatFox’s setup and monthly management fees, there are small, usage-based charges from third-party providers. These costs are minor, directly linked to how much the system is used, for most businesses this represents a modest operational expense rather than a significant cost.
ChatFox does not add any markup to these charges. You own the accounts and are billed directly by the providers.

ChatFox uses WhatsApp Business to communicate with your customers. WhatsApp charges per conversation, not per message.
In simple terms:
A conversation starts when a message is sent or received
Each conversation lasts 24 hours
You are charged once per conversation, no matter how many messages are exchanged during that time
There are two main types of conversations:
Customer-initiated (a customer messages you first)
Business-initiated (you message the customer, for example with a follow-up or update)
The cost per conversation is set by WhatsApp and varies slightly by country. Charges are applied directly to your WhatsApp Business account based on usage.

Low usage (e.g. 50–100 conversations/month): a few pounds per month
Medium usage (e.g. 300–500 conversations/month): typically tens of pounds per month
High usage (e.g. 1,000+ conversations/month): higher, but directly aligned with customer engagement and business value

ChatFox uses a Large Language Model (LLM) to generate responses. Our recommended option is OpenAI’s ChatGPT 5 Nano, chosen for its speed, reliability, and low running costs.
AI usage is charged based on tokens, which roughly means:
The amount of text sent to the AI
The amount of text the AI sends back
Short, simple conversations use very few tokens, while longer or more detailed conversations use slightly more.

Low usage (light daily conversations): a few pounds per month
Medium usage (regular customer interactions): typically under tens of pounds per month
High usage (heavy, ongoing conversations): higher, but still cost-effective relative to the value delivered
For most clients, AI usage costs remain very modest, especially when compared to the efficiency gains and time savings ChatFox delivers.
